As a Transaction Coordinator, you will play a pivotal role in providing exceptional support and ensuring the success of real estate transactions.

Key Responsibilities:
As a Transaction Coordinator, your day-to-day will look like this:
- Review Contracts and Transaction Paperwork: Conduct thorough reviews of contracts and transaction paperwork to confirm the accuracy of details, completeness of information, and presence of all required signatures.
- Manage Transaction Timelines: Gather and monitor contingency dates and ensure that all deadlines are met efficiently.
- Maintain Client Communication: Keep the agents, along with their buyers and sellers, informed and engaged throughout the transaction process, ensuring they feel supported and excited about their experience.
- Coordinate with Key Players: Work closely with title/escrow officers, mortgage lenders, appraisers, and other parties to facilitate smooth transactions.
- Coordinate Paperwork: Distribute necessary paperwork to all parties involved in a transaction, such as buyers, sellers, lenders, attorneys, and other third parties.
- Oversee Inspections: Schedule and coordinate inspections and assist with keeping track of repairs when necessary.
- Listing Management: Assist agents with prepping temporary listings on the MLS, including ordering staging, photos, videos, and signage as needed. Converting listings and price changes in Paragon for some agents.
- File Compliance: Submit necessary documentation to the office broker for file compliance.
- Closing Coordination: Schedule and coordinate all aspects of the closing process to ensure a successful and timely completion.
- Database Management: Input essential information into client databases and transaction management systems for seamless record-keeping.
Additional responsibilities:
- Documentation: Record processes as you do them to ensure SOPs are consistently updated.
- Agent Onboarding: Assist in onboarding new real estate agents and maintain client profiles.
- System Updating: Update action plans and email templates in multiple systems
Skills You'll Need to Bring:
- Real Estate Knowledge: In-depth understanding of real estate terminology, contracts, and MLS rules and regulations.
- Client Success Ownership: Taking full responsibility for the transaction process and ensuring the satisfaction and retention of real estate agents.
- Communication Pro: Strong written and verbal communication skills, with the ability to keep clients, third parties and team members informed and engaged.
- Self-Motivated: Able to work independently, take initiative, and excel in a collaborative team environment.
- Time Management: Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Detail-Oriented: Exceptional organizational skills and meticulous attention to detail.
- Resourceful: Skilled at troubleshooting and resolving issues using available online resources and team members for support.
- Proactive: Anticipating your real estate agent's needs BEFORE the agent reaches out to you (e.g., checking on a contingency date well before it’s due or following up on an ongoing issue before being asked)
- Tech-Savvy: Proficient in using real estate transaction management software such as SkySlope, KW Command, and Transaction Room. Familiarity with MLS systems.
Nice To Haves:
- You have experience managing a large number of closings per month in the past. (15+)
- You have experience using CRM platforms like Salesforce, Follow Up Boss, kvCORE, and Lofty.
